PAPER PREPARATION

 

The size of an Extended Abstract has to be 12 pages and prepared based on the template, provided below. To ensure a double-blind review process of the Extended Abstract please do not include any identifying information 

The size of a Full Paper has to be 4-6 pages (including abstract, main text, figures, tables anreferences). For each additional page of the Full paper, the author will be required to pay an extra fee.

The size of a Doctoral Workshop proposal has to be 1-2 pages.

Each main author is allowed to submit max. 2 papers (check for the additional charges on the registration page). However, the author can be mentioned as a co-author in other submissions.

The conference language is English only.

Guidelines for preparing your paper:

Full paper: please use the provided Guideline and Checklist for preparing your paper. You can find there instructions and recommendations on how to structure a Full paper in compliance with the IEEE requirements. You can download the Guideline and Checklist below.

Depending on the submission type*,  a paper should include a combination of following sections: Synopsis / AbstractKeywords, Research Design, Relevance for Practice / Education, Main and Anticipated FindingsReferences. 

Doctoral Workshop proposals**:
Starting a new Journey – this proposal focuses on your PhD journey at the beginning of your research. Use the chance to present your research questions and the first outline of your project. Profit from in-depth discussions with and feedback by peers and professionals from different fields.
On the Journey – this proposal focuses on the first outcomes of your research in the middle stage of your PhD journey. Share your current research findings, and strengthen your arguments by the qualified feedback from professionals with diverse perspectives on your findings.

* Submission types: Research Paper, Case Study, Masters Research Note, Practitioner Paper.
**All presented during the Doctoral Workshop proposals can be then considered for elaboration and extension. PhD researchers will be given a chance to be published in either Project Management Research & Practice Journal or IEEE Xplore.

Commentary paper: the stories of cities go well beyond the researcher’s perspective. We want to hear informed commentary from citizens, city leaders and other stakeholders who want to ensure their future cities have a high quality of life. We would like factual commentaries that effectively and meaningfully shed light on either the topics of this conference or anything that you, as a city stakeholder, consider worthy of discussion.
The commentary paper should have a short meaningful title, an abstract of 50 words or less, no more than 35 references, and one or two figures (with figure legends) or tables.

FURTHER PUBLICATION STEPS (AFTER THE CONFERENCE)

1. Present your paper (in oral, video or poster formats).
2. In case you want to reflect the feedback following the presentation, send a Change request to the organising committee (info@etems.digital) until 31.03.2021.
3. The organising committee will send you the final edited version of your paper, where you can make your changes.
4. Send back the ultimate version of your paper until 15.04.2021.
5. Check the publication of your paper in IEEE Xplore around the end of May (you will be notified).

SUBMISSION

Each main author must create a submission (Extended Abstract, Full Paper or Doctoral Workshop proposal) via EasyChair System.

ORAL (LIVE/ONLINE) PRESENTATION

Oral (live/online) presentation should take around 10 minutes which will be followed by the Q&A session (around 20 minutes) at the end of your session, therefore, you are kindly asked to be present the whole session online. For preparing your presentation please use the MS PowerPoint template on the right.

You will be asked to switch on your camera and share your screen in order to show your presentation. Please use MS PowerPoint, or PDF documents. 

VIDEO PRESENTATION

*** This information is relevant ONLY for the VIDEO format of presentation (Poster and Video Discussions Session)***

You are kindly asked to record a video (teaser) of your presentation, explaining your research and limited by 5 minutes, and submit the video-file by 1st of March via EasyChair System (“Add or update files” option in your submission dashboard).

For preparing your presentation please use the MS PowerPoint template on the right. In the video, you can show your slides, record the demos and so on. Please make sure that you are also visible in the recorded video as a presenter.

Your video will be published on our Conference portal and only participants will have access to it. Please note, that you should be present during the Poster and Video Discussions session to discuss your paper(s). The moderator will guide you.

In case of no-show, your paper will be excluded from the IEEE Xplore publications.

POSTER PRESENTATION

Please prepare a poster based on the template provided. Submit the file in PPT format until 1st of March via EasyChair System (“Add or update files” option in your submission dashboard).

Your poster will be published on our Conference portal and only participants will have access to it. Every participant can get familiar with your poster in advance and will be able to discuss your paper with you during the Poster & Video Discussion session. Please make sure to be present during this session.

In case of no-show, your paper will be excluded from the IEEE Xplore publications.

DOCTORAL WORKSHOP

Presentation of each Doctoral proposal should take max 5 minutes (pitching format). The presentations will be followed by a discussion, during which researchers will also get feedback and suggestions for their future research.

ORAL (ON-SITE/ONLINE) PRESENTATION

Oral (on-site/online) presentation should take around 15 minutes which will be followed by the Q&A session (max. 15 minutes) at the end of your session, therefore, you are kindly asked to be present the whole session. For preparing your presentation please use the MS PowerPoint template on the right.

For online participation: you will be asked to switch on your camera and share your screen in order to show your presentation. Please use MS PowerPoint, or PDF documents. 
For on-site participation: please provide your presentation file BEFORE the start of the session on the USB stick or send it to us via email (info@etems.digital) in order to put it on the conference laptop. You will be presenting from it. Please use MS PowerPoint, or PDF documents. 
 
In case of no-show, your paper will be excluded from the IEEE Xplore publications.

POSTER (ONLINE) PRESENTATION

Please prepare a poster based on the template provided. Submit the file in PPT (MS PowerPoint) format until 15th of April via email.

Your poster will be published on our Conference portal and only participants will have access to it. Every participant can get familiar with your poster in advance and will be able to discuss your paper with you during the Poster Discussion session. Please make sure to be present during this session.

In case of no-show, your paper will be excluded from the IEEE Xplore publications.

INDEXING

Conference content will be submitted for inclusion into IEEE Xplore as well as other abstracting and indexing (A&I) databases. All A&I providers can be found here and include amongst others Scopus and Web of Science.

POLICIES

IEEE Privacy policy: IEEE policy and professional ethics require that referees treat the contents of papers under review as privileged information not to be disclosed to others before publication. It is expected that no one with access to a paper under review will make any inappropriate use of the special knowledge which that access provides. This applies to anyone else who is authorized to handle submissions.

Publication policies: IEEE reserves the right to exclude a submission from distribution after the conference, including exclusion from IEEE Xplore:

  • if the submission does not meet IEEE standards for scope and/or quality, and
  • if the article is not presented at the conference.
